Want to ensure privacy? Use a shredder

In today’s world of cut throat competition, identity theft and industrial espionage have become the norm. Hence, it is quite important that privacy of your business or even of your personal information should be insured. Even when you want to comply with the document destruction legislation or get rid of the clutter of useless papers and objects, there is a simple and an effective way of using a shredder. There are many important factors to consider while you choose the perfect shredder for yourself, but you can start with these important ones. The important factors that are required to be considered are whether the shredder is going to be used for home purpose or in an office, how many people are going to use the shredder in an entire day and what type of documents you want to shred. Answering such important questions would help you narrow down your choices in selecting a perfect shredder for you and will help you in your choice by offer the best quality shredders at lowest prices. Amongst the wide ranging shredders, Fellowes Shredders, Royal ShreddersHSM Shredders, Royal Sovereign Shredders, Swingline Shredders, and Banner America/Techko Shredders are some good brand names in top quality shredders.

The best quality shredder will be versatile in shedding a paper document as well as a credit card, will be safe to use, will give a noiseless performance and will not succumb to frequent jams. Besides, you need to consider the size of the shredder that will depend on again on the type of objects to be shredded and also on how many people are going to use the shredder how many times in a day and also whether it is going to be used for a personal use or for official purposes. An important factor to consider while buying a shredder would be duty cycle or run time. Duty cycle or run time is the amount of time that a shredder can continuously shred before it needs to cool down. Varying duty cycle times are available for various type of shredders and they range from 2 minutes up to an hour, depending upon the size of the shredder. In addition to the duty cycle time or the run time, three other most important characteristics need to be considered before opting for a particular shredder. These three characteristics in combination are also known as Throughput. Throughput consist of the sheet capacity, shredding speed and run time. Thus, by Throughput, one can one to know how much we can shred, at what speed at in what time.

Another important criteria that you should consider while buying a shredder is the security level that you are aiming for. The higher the level of security, the smaller the cut size of the shredder. Thus a strip cut shredder will provide basic security (level P-2) where shreds are typically 7/32” of an inch wide and the length of the shred would be the length of the document. However, with cross cut shredders (level P-3 and P-4), the shredded paper or document becomes extremely difficult to reassemble and read. However, if you want to shred highly confidential documents, then a micro cut shredder with a security level of P-5 is preferable where the size of the cut is reduced to 5/64”x5/64”. Government approved high security shredders confirm to a security level of P-7 and are used for destroying highly classified documents where the cut size is reduced to 1/32”x3/16”.

Some of the shredders also have the Jam proof technology that not only eliminates paper jams and shreds various other objects without any difficulty. Other jam proof technology in a shredder includes auto reverse, which stops and reverses paper anticipating a jam and Jam blocker, which can stop paper jams before they start. Such types of advanced shredders should be considered if the use of the shredder is high and if they are going to be used in an office. Also, one other criteria on which a shredder can be judged is the level of noise that it makes while shredding objects like paper or CDs. Some of the advanced shredders are equipped with ultra-quite shredding technologies that facilitate noise reduction.

Besides these features, other features that are needed to be considered are the energy requirements that a shredder has and how far a shredder can contribute in reducing the energy consumption. In addition to this, the versatility of the shredder in shredding various objects like paper, CDs, DVDs, credit cards and stapled paper should also be considered. There are a wide variety of shredders available on and some of the shredders featured like Fellowes Shredders and Royal Shredders can fulfill all the criteria mentioned in the shredders in the above write up.

How To Organize Your Desk

Do you have a cluttered desk? Do you need at least an hour to find a single document from your desk? If so, read on.

Unless we are highly organized like a robot, we would have had a overflowing desk at least once. Sometimes we clean it weekly or bi-weekly. But when we are on a high-priority project, we tend to miss out on our weekly cleaning spree, ending up with a pile of clutter big enough to drown us. Literally. If you are currently into such situation, we can help you organize better. This may sound cliched but it's a fact, organization leads to better productivity. So let's get organized to be productive.

  • Sort out documents: First of all, sort out all the documents lying on your desk. Make three piles: keep pile, toss pile and recycle pile. However, if you believe in going green, make only two piles: keep pile and recycle pile. While sorting out, do away with all the documents, pamphlets and brochures that do not serve any purpose. If you are having years old brochures as a memory, it's time to do away with those too. Destroy the recycle file in the office shredder

  • Categorize documents: Once you have your to-keep pile ready, categorize the documents according to their need and priority. For example, you can categorize the documents according to your daily needs, weekly needs, conference needs and archives. You can also categories the files according to projects. For example, if you belong to the communication department, you can sort out your documents according to internal department communication, client communication and marketing communication. However, always categorize the documents in a way you can remember. Categorize according to your logic rather than following any set procedures.

  • Storing documents: Once you have sorted and categorized the documents, you need to store them into files and folders. For weekly documents, files will work great; but for daily needs, keep folders as the movement of documents would be quite high. There are various types of folders available, including hanging folders and desktop file folders. If you want the folder handy, desktop file folders would work great. Hanging folders are convenient for cramped desk space. Also, while storing your documents in folder, usage of clips and staplers is a good idea to keep the related documents, such as 3-page correspondence, together.

  • Labeling: One of the most important aspect of organizing is labeling. What's the use of sorting and categorizing documents when you can't find it when needed? Labeling will make sure that you know the location of your every file. For labeling, you can use portable label maker. You will also need to differentiate your file from those of your colleagues. You can do so by keeping colorful files and folders, or by marking your file in a unique way.

Unless you are working in a law firm, you will only have handful of files. However, if you have more than 5-7 files, it's better to have a file cabinet around. That way you can protect your important files without much fuss.

Once you have cleaned your desk, do remember to follow the set organization. Otherwise, you will be again buried under the mountain of documents within few weeks!
